As presented at the COSEC meeting on February 4, we would like to inform you that as of March 1, 2025, the procedure for notifying a change in a unit's safety correspondent (COSEC) has been modified as detailed below.
From now on, any appointment or departure of a COSEC will be automatically integrated into the HR file of the person concerned. This new procedure will enable us to better formalize and monitor this essential function for the safety of our facilities and employees. It also complies with art.14 al.1 of LEX 1.5.1.
The main changes to the process are as follows:
- A specific ServiceNow form must be completed to announce a change of COSEC within a unit. This form must then be validated by the line manager before being taken into account. It is recommended that the new COSEC announces his/her arrival by filling in the form. However, the form can also be completed by another member of the unit if required.
- Administrative changes: The health and safety department (OHS) will make the necessary changes in the various systems to register the new COSEC for training and give him the necessary rights.
- Integration into HR file: Once the form is closed, an appendix to the specifications will be automatically generated and added to your HR file. The person's original specifications will not be modified.
Important information for COSECs already in operation :
For existing COSECs, it is also mandatory to complete this form via ServiceNow so that this information can be added to your HR file. For those already in the COSEC role, please note :
- Start date -> if unknown, indicate “31.12.2024”.
- Are you replacing a COSEC currently in operation -> answer “no”.
- COSEC training -> check “none of the dates apply”.
- Comments” field -> you can indicate that you are already on the job.
For units with several COSECs, a form must be completed by each COSEC. The same applies if a COSEC is in charge of several units.
