Chères collaboratrices, chers collaborateurs,

Dans le cadre de notre engagement pour un environnement de travail moderne et efficace, nous souhaitons vous informer du démantèlement progressif du système actuel de réservation de salles et de matériel, et de la transition vers une solution intégrée et conforme aux standards actuels.

Pourquoi ce changement?

Le système actuel, développé au début des années 2010, ne répond plus aux normes techniques et fonctionnelles d'aujourd’hui:

  • Bugs récurrents, notamment l’impossibilité de modifier certaines réservations périodiques, entraînant des frustrations et des inefficacités.
  • Une architecture obsolète, rendant toute amélioration complexe et coûteuse.

Quelle est la nouvelle solution?

Les salles et matériels encore en usage seront progressivement intégrés dans Microsoft Exchange, offrant une gestion simplifiée via Outlook, iCal ou encore EWA.

Ce changement apportera :

  • La possibilité d'inviter la salle en même temps que les autres participants.
  • La disponibilité de salle directement dans l'interface du calendrier.
  • Un système sécurisé et normé, aligné sur les exigences institutionnelles.

Plan de migration

La migration est en cours selon les étapes suivantes :

  1. Dès maintenant :
    • Il n’est plus possible d’ajouter de nouveaux objets au système actuel.
    • Les administrateur·rice·s de salles recevront prochainement un e-mail de ServiceNow détaillant les actions nécessaires à la migration des ressources.
  2. Prochaine étape :
    • Le transfert des objets actifs vers Exchange, avec l’objectif de finaliser l’ensemble des migrations dans le courant du deuxième trimestre 2025.

Dear colleagues,

As part of our commitment to a modern and efficient work environment, we would like to inform you about the gradual phasing out of the current room and equipment booking system and the transition to an integrated solution that meets today’s standards.

Why this change?

The current system, developed in the early 2010s, no longer meets today’s technical and functional standards:

  • Recurring bugs, such as the inability to modify certain recurring bookings, leading to frustration and inefficiencies.
  • An outdated architecture, making any improvements complex and costly.

What is the new solution?

Rooms and equipment still in use will gradually be integrated into Microsoft Exchange, allowing simplified management via Outlook, iCal, or EWA.

This change will provide:

  • The ability to reserve the room at the same time as other participants.
  • Room availability directly visible in the calendar interface.
  • A secure and standardized system aligned with institutional requirements.

Migration plan

The migration is underway and will follow these steps:

  1. Starting now:
    • No new objects can be added to the current system.
    • Room administrators will soon receive an email from ServiceNow with detailed instructions on the actions required to migrate resources.
  2. Next step:
    • Active objects will be transferred to Exchange, with the goal of completing all migrations by the second quarter of 2025.
